How to Replace Lost KCPE and KCSE Certificates: What About O-Level Certificates?
Your education certificate holds immense value, serving as a crucial stepping stone for further studies and employment. Universities often require it for enrollment, and some job applications demand the submission of O-level certificates. Losing such certificates can be concerning, but the Kenya National Examination Council (KNEC) provides a solution.
On March 2, 2009, KNEC implemented a rule allowing the reinstatement of misplaced certificates dating back to 1981. However, one can only request a replacement once. To initiate the process, follow these simple steps:
Fill the KNEC Certificate Replacement Form:
Access the form on the KNEC website or fill it physically at the KNEC Archives and Records offices.
Include the necessary documents, such as a copy of the certificate/result slip, completion/recommendation letter from a school, a sworn legal affidavit, a police abstract indicating the loss of the certificate, and a valid ID/passport or birth certificate. Attach the KNEC bank deposit slip.
Pay the Processing Fee:
Deposit a facilitation fee of Ksh. 5,000 + 16% Vat (totaling Ksh. 5,800) to the specified KNEC accounts in Kenya Commercial Bank (KCB), Equity Bank, Co-operative Bank of Kenya, or National Bank of Kenya. Attach the bank slip as proof of payment.
Submit the Application Form:
After filling the form, confirm the accuracy of the details and send the documents in a sealed envelope to the Council Secretary/Chief Executive, Kenya National Examination Council, P.O Box 73598-00200, City Square, Nairobi.
Waiting Period:
After completing the paperwork, wait for sixty working days to collect the new documents from the KNEC offices. Log in to the KNEC Query Management Information System (QMIS) to check your application’s status.
Certificates must be collected within two years of application; otherwise, they may be disposed of without consultation.
KNEC Ceases Replacement of Lost Certificates:
In response to a surge in suspicious certificate replacement applications, KNEC ceased issuing O-level certificates. In April 2017, Mr. Mohamud Ibrahim, the body’s representative, announced this decision, leaving many citizens in a predicament.
However, KNEC now offers a confirmation service at a Ksh. 2,320 charge, available only at the New Mitihani House in South C.
Accessing KCSE Certificates Online:
For those awaiting their KCSE results, accessing certificates has become more convenient. Follow these steps:
- Open any browser and ensure a stable internet connection.
- Visit the KNEC website.
- Click the ‘Results’ tab.
- Enter your index number to view and print the results.
This online service is applicable only for KCPE certificates; secondary school certificates must be collected physically from Mitihani House.
